    - modern information management for effective safety management

    Lapland Hotels Oy relies on the PRO24 system to manage its safety documents. The updating and sharing of documents between different units and also outside the organisation is praised. Protect's customer service receives a special mention.

     Lapland Hotels Oy is part of a larger tourism group with a focus on Lapland. The company has more than ten hotels, five ski resorts and dozens of restaurants in Lapland. The company also owns 5 city hotels from Helsinki to Rovaniemi.

    Lapland Hotels Sky Ounasvaara is located in Rovaniemi, about ten kilometres from the Arctic Circle. Hotel manager Mira Söderlund is proud to talk about her farm:

    - Our capacity consists of 71 rooms, most of which have their own sauna. Our restaurant Sky Kitchen & View has been selected last year as one of the 50 best restaurants in Finland.

    From physical folder to digital

    Lapland Hotels uses the Protect PRO24 system for safety management. As the chain spread across Finland, document storage and management became difficult.

    In the past, safety documents were printed and stored in a physical folder, which was very difficult to maintain, and sharing documents between different departments was a challenge.     Documentation creates safety

    The safety file is now provided by PRO24. Now all documents are in one place. Over the years, other features have been introduced to make document management easier. safety documents are also more accessible to all staff, with more people taking responsibility for keeping the information up to date.

    - Safety management is a fairly new concept. If I had been asked 15 years ago how you implement safety management, I would not have understood what the question meant," Söderlund muses:

    - The increased awareness of what can happen and what to prepare for is sometimes even frightening. On the other hand, documenting and practising creates safety and helps you prepare for a rainy day.

    The move to PRO24 has made it easier to maintain and share documents, for example in the lists of chemicals, which are the same for each unit, as the same substances are used in all units. If there are updates to the list, the new information is immediately available to every unit, wherever they are in Finland. The system makes it easy to see what safety instructions are available to employees and what is available to customers.

    "Immediate and inspiring customer service"

    Protect has designated contact persons for Lapland Hotels. Söderlund finds this a very fruitful way of working, as these people try to get to know the customer's business and understand what they want and need from the system.

    - Maybe that kind of immediate and inspiring customer service is their strength in my eyes," Söderlund reflects.

    These contact persons will also provide training for the whole organisation on how to use the system. According to Söderlund, the trainers know how to make the system engaging and this has helped with the implementation of the system at the grassroots level. Söderlund is satisfied with the system provider.

    - There's nothing bad to say. The track record has been good and the action has been fast. I can recommend!
